What we've built, and where it's going

A snapshot of the operational tooling behind Move Colombia Relocation — the systems that turn a paid client into a delivered relocation — plus the automation roadmap for the next phase.

The toolkit

Three internal tools plus the live client site. Open the first two directly to demo them.

Service Playbook

Ready

How to run all ten services — execution steps, who to partner with, the contracts we need, supplier alignment, and how each differs for South American, European & US clients. Interactive: tick steps as you run a client, with progress tracking per service.

Quote Calculator

Ready

Builds a client estimate from the services they select. Pre-loaded with 2026 Colombian costs (editable), with our 30% margin applied to service revenue only, an inflation re-baser, IVA, and live USD/EUR/COP switching. Separates "our fee" from "paid on their behalf."

Operations Manual

Ready

The full written playbook + the payment / cash-flow model: how money flows in Colombia, what to collect upfront, escrow for pass-through costs, contractor contract essentials, and the margin policy. The source behind the interactive tools.

Trayectomove · Client Portal

Live

The client-facing guided experience — personalized visa checklists, secure document upload, and AI pre-checks before consulate submission. Bilingual EN/ES. This is "My Portal" brought to life: where clients track their own journey.

How the pieces connect

Each tool owns one part of the journey. Together they form the operating system from "client pays" to "relocation delivered."

Dashboard

Automates the doing — next phase

What's next

The automation dashboard

Once a client is confirmed and paid, the dashboard reads which services they bought, contacts the right providers (mostly WhatsApp & email today), tracks replies, and chases follow-ups so nothing stalls. Built in phases — each one ships and earns the next.

1

Tracked board Start here

A live view per client: services bought, provider per service, status, milestones. Manual sends, but nothing falls through the cracks. Provider directory built from the playbook's contracts & SLAs.

2

One-click dispatch

Pre-approved message templates per provider. A human clicks send; the dashboard logs it and starts an SLA timer.

3

Auto-trigger & follow-up

Payment confirmed → messages fire automatically. "No reply in 48h" flags and escalations make follow-up impossible to forget.

4

AI assist

AI drafts the outreach, reads provider replies, and updates status — humans stay on outcomes, not data entry.

Two things to decide before building: the WhatsApp piece needs the official WhatsApp Business API with Meta-approved templates (you can't safely automate a personal account at scale) — and the whole system is only as good as the provider network behind it, so provider onboarding (channel, contact, SLA, template per provider) is the real prerequisite, not the code. A no-code prototype (Airtable + Make/n8n + WhatsApp API) can validate the full flow in days before committing engineering.
